AI transparency notice.

How AI is used in and around the NERMO service.

This notice describes how AI is used in and around the NERMO service, in line with the transparency obligations of Article 50 of the EU AI Act (Regulation (EU) 2024/1689).

1. AI inside the NERMO platform — assistive, human-confirmed

NERMO uses AI to assist — never to decide or transact on its own:

  • Product matching suggestions. When catalogues and requisitions are processed, AI helps suggest matches between vendor products and canonical product entries. Suggestions are advisory; matches that matter are curated and confirmed by people.
  • Document extraction. Uploaded documents (for example vendor price lists or quote documents) may be parsed by AI into structured drafts. A parsed quote is always a draft that the vendor reviews and confirms before it exists as a quote; extraction may flag issues for human attention but never auto-clears or auto-approves anything.

No AI feature on the platform auto-executes a binding act: no order is placed, no quote issued, no application declined, and no decision adverse to a person made by AI alone. Sanctions/KYC screening is automated-first — a fully clear screening result lets an application proceed automatically, while every hit or screening error is reviewed by a human before any account is opened, and an ambiguous result is reviewed by a human — before activation for a vendor account, and within one business day of activation for a client account while no screening provider is engaged (see the Privacy Policy, Section 6). Under the NERMO Platform Terms of Service (Section 13.2), users must verify AI-assisted outputs before relying on them for a binding act.

2. Your own AI agents on our API and MCP surface

NERMO’s API and MCP surface is designed to be used by our customers’ own AI procurement agents. Those agents are operated by, and act for, the customer organisation — not NERMO. Every action such an agent takes through a customer’s credentials is attributed to that customer, is subject to the customer’s configured permissions and vessel scope, and is audit-logged like any human action (Platform Terms of Service, Section 4.4). NERMO does not control, and is not responsible for, the behaviour of customer-operated AI agents; transparency obligations for those agents rest with their operator.
